Position Title: School Secretary
Position Schedule: 11 months (209 days)

Primary Function: The job of School Secretary/Receptionist is for the purpose/s of providing secretarial and administrative support to the Administration; communicating information to students, parents, staff, and/or other districts; ensuring compliance with financial, legal and administrative requirements; and supporting the broad array of services provided to students, parents, instructional and support employees.
Requirements:
- Educational Level: High School Diploma or equivalent. Formal training in office practices and experience preferred
- Experience: 3- 5 years of general office experience, preferred
- Certification/License Required: None
- Proficiency Skills: Written and oral communication skills, ability to deal with multiple tasks, organizational skills, ability to operate office machinery, computer competence
- Personal skills: Pleasant personality, cooperative attitude, physical skills, and stamina to perform essential duties.
General:
1. Maintains a pattern of prompt and regular attendance.

Secretary/Receptionist
14. Answers telephone and screens, refers, records and follow through on messages; maintains files of correspondence and records.
15. Acts as receptionist for the school, setting a positive tone for pupils, parents and visitors; assists students parents and visitors entering the office area.
16. Types correspondence, generate reports, proofread typed materials for correct grammar, spelling, punctuation word usage.
17. Enters daily student attendance in the student information system. Print attendance reports as needed.
18. Prepares standardized documents and reports (e.g. form letters and memos, calendars, bulletins, periodic reports, etc.) for the purpose of communicating information to other parties and/or agencies.
19. Utilizes technological resources to facilitate workload and enhance office operation; assists in updating office procedures.
20. Utilizes student information system to access information as needed.
21. Maintains calendar, schedules appointments and meeting for Principal; maintains schedule of local meetings open to the public to include maintaining an updated listing of who to contact in case of emergencies.
22. Maintains confidentiality of sensitive information and materials; adheres to chain of command.
23. Maintains and manages files, records, materials, supplies, and equipment in an appropriate, accessible and current manner, including records necessary for reporting and accountability.
24. Promotes positive relationships with local school personnel, central office staff members, parents and the general public by assisting whenever possible.
25. Assist with student registration and backup bookkeeping responsibilities as needed.
25. Performs all other duties and responsibilities as assigned by the supervisor/principal.
