JOB DESCRIPTION: Administrative Assistant for Special Education/Curriculum & Instruction
CONTRACT TERMS: 200-day calendar
REPORTS TO: Executive Director of Curriculum & Instruction K-12 & Special Education Director
SALARY GRADE: 9

JOB SUMMARY:
Provide administrative assistance to the Special Education Director and staff. Provide administrative support to the Executive Director of Curriculum & Instruction and staff.
QUALIFICATIONS:
- High school diploma or GED.
- Two (2) years of college preferred.
- A minimum of four (4) years of secretarial experience.
- Excellent organizational, human relations, and decision-making skills.
- Ability to respond to oral and written directions.
- Ability to organize an efficient filing system.
- Ability to work independently and efficiently.
- Ability to maintain confidentiality on Board and Administrative matters.
ESSENTIAL FUNCTIONS:
To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
- Maintains Special Education student records in compliance with state and federal regulations, including release/exchange of records and destruction of records in accordance with state guidelines.
- Completes FTE, student records, and other reports related to Special Education.
- Completes ISBE and other reports related to Special Education.
- Collects and submits Medicaid information and claims related to Special Education.
- Establishes and maintains a database for students receiving special services.
- Maintains a current list of students requiring annual reviews, evaluations, and case studies.
- Supply maintenance and preparation of student placement forms, special education forms, and staffing schedules.
- Receives and completes referrals for special services from each school campus and sends requests for consent to evaluate to parents/guardians.
- Assists in maintaining attendance records for students placed out of district.
- Receives all SSI documents and requests for requested documents.
- Keeps abreast of regulations and court rulings related to special education as directed.
- Assists with pre-school screenings.
- Assists with monitoring 504 plan documentation.
- Collects and monitors BCW and childfind screening documents.
- Monitors professional learning log as approved by District staff and approved in the budget.
- Create and monitor purchase orders for District Special Education professional learning, textbooks and instructional material.
· Provides ALL administrative support for the Special Education Department.
- Completes any additional assignments requested by the immediate supervisor and/or Executive Director of Curriculum & Instruction K-12.
PHYSICAL REQUIREMENTS:
The usual and customary methods of performing the job's functions require the following physical demands: lifting, carrying, pushing, and/or pulling, stooping, kneeling, crouching, and/or crawling, and significant fine finger dexterity.
Generally, the job requires 70% sitting, 20% walking, and 10% standing.
EVALUATION:
The performance of this position and its responsibilities will be evaluated at least annually by the Executive Director of Curriculum & Instruction K-12/Special Education Director, in accordance with provisions of Board policies for evaluations.
