Position:                                Data Clerk

Responsible to Whom:        Principal/School Administrators

The Data Clerk is responsible for maintaining accurate and up-to-date student and school data in compliance with district, state, and federal requirements. This role includes entering, managing, and reporting data related to student attendance, enrollment, grades, and other records. The Data Clerk plays a critical role in ensuring data integrity and supporting school operations.

Skills and Qualifications:

  • High school diploma or equivalent required; associate’s degree preferred.
  • Proficiency in Student Information Systems, such as Infinite Campus, or equivalent software. 
  • Strong computer skills, including proficiency in Microsoft Office Suite (Excel, Word, etc.).
  • Exceptional attention to detail and accuracy in data entry and reporting.
  • Strong organizational and time management skills.
  • Ability to handle confidential information with integrity.
  • Effective communication and interpersonal skills.

Key Responsibilities

  1. Data Entry and Maintenance
    • Accurately input student information into the Student Information System (SIS) and other databases.
    • Update student records, including enrollment, withdrawals, demographic information, and grades.
    • Maintain attendance records and reconcile discrepancies.
  2. Data Reporting
    • Generate reports as required by school administration, district, or state.
    • Assist in preparing data for audits, compliance reviews, and other reporting requirements.
    • Ensure timely submission of required state and federal reports.
  3. Collaboration and Communication
    • Work closely with teachers, counselors, and administrators to ensure accurate data collection and reporting.
    • Communicate with parents/guardians to obtain required documentation or verify student information.
    • Serve as a point of contact for data-related inquiries from staff and stakeholders.
  4. Compliance
    • Ensure all student records are maintained in compliance with FERPA (Family Educational Rights and Privacy Act) and other confidentiality regulations.
    • Monitor and follow district policies and procedures for record-keeping and data management.
  5. General Office Support
    • Assist with front office tasks as needed, including answering phones, greeting visitors, and filing.
    • Support testing coordination by maintaining accurate rosters and ensuring data readiness.
  6. Other Duties
    • Perform other related duties as assigned by the principal or administrator.
